This describes what Callout actually collects and what happens to it. It is written in plain words on purpose. If something here is unclear, or you want your information removed, email hello@callut.app and say so — you do not need a reason.
What we collect, and when
There are three separate situations, and they are not the same.
1. You book a discovery call with us
The booking form asks for your name, your phone number, and optionally your business name and email address. We keep the time you booked and the time you booked it. That is the whole record. We use it to turn up to the call and to follow up about it.
2. You try the receptionist on our website or on a demo page
The browser demo uses your microphone while you are speaking to it. The conversation is recorded so we can hear where the receptionist went wrong and improve it. Demo conversations are kept for 30 days and then deleted. Every business used in a demo is either invented by us or is the business the page was built for — no real customer of anyone’s is involved, and no one is called back because of a demo.
If you ask the receptionist whether you are speaking to a machine, it will tell you that you are. That is set deliberately and it is not optional.
3. Callout answers your business’s phone (paying customers)
When Callout answers calls for a business, it handles that business’s callers: their names, their phone numbers, what they rang about, and what was booked. Call audio and transcripts are processed so the receptionist can respond and so a booking can be written into a calendar.
That information belongs to the business, not to us. We hold it on their behalf so they can see it in their dashboard. If you are a caller and you want your details removed, contact the business you rang; if you contact us instead, we will pass it on and act on it.
Website analytics
Standard web server logs (IP address, browser, which page was requested) are produced by our hosting provider, Vercel, as a normal part of serving the site.
Who else sees it
Callout is assembled from other companies’ services rather than built from nothing, so being specific matters more than a reassuring sentence. Depending on which parts you use, your information passes through:
- Vercel — hosting and storage for the website, bookings and call records.
- Voice and language model providers — used to run the receptionist and the website chat. Speech and message text are sent to them to be processed and answered.
- Your calendar or job-management software — where the booking is written, if you have connected one.
Some of these providers operate outside Australia, which means your information may be processed overseas. We do not sell information to anybody, and we do not hand it to anyone for their own marketing.
Call recording
Recording a phone call is regulated differently in different Australian states, and the obligation sits with the business whose phone is being answered. If you are a Callout customer, deciding whether calls are recorded and whether callers are told is your call to make, and we will configure it the way you tell us to. If you are unsure what applies to you, get your own advice rather than ours.
How long we keep it
- Demo conversations: 30 days, then deleted.
- Discovery call bookings: kept while we are talking to you, and deleted on request.
- Customer call records: kept for as long as the business is a customer, so it stays visible in their dashboard, and deleted on request when they leave.
Getting a copy, or getting it deleted
Email hello@callut.app. Ask for a copy of what we hold about you, ask for it to be corrected, or ask for it to be deleted. We will do it. If you are unhappy with how we handled it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
If this changes, the date at the top changes with it. If the change affects a customer’s call data, we will email them rather than quietly editing the page.
